When a planned migration is useful

If business email is spread across webmail, old Outlook profiles and local archives, changing providers can reveal that some messages were never stored on the server. We first establish where the data is and what must remain accessible after migration. The service is for businesses moving to Exchange Online with clear ownership of their domain and user accounts.

What we review before the move

  • Users, aliases, shared mailboxes and distribution groups.
  • Licences, administrator access and control of DNS records.
  • Mailbox sizes, local archives, calendars and contacts.
  • A transfer method supported by the source system and available access.
  • The switch-over window and a fallback procedure if checks fail.

An IMAP email migration does not automatically transfer calendars, contacts or mailbox rules. We inventory those separately. Local PST files, older computers and applications that send email can extend the scope.

How the migration works

Pilot mailbox and user preparation

We test the chosen method on an agreed sample. Required accounts and licences are prepared before mail is redirected. Users need to know when their sign-in changes and how to report a problem.

Mail routing and final checks

DNS changes are made in the agreed window, followed by mail-flow and client checks. DNS propagation and larger archive transfers can take time, so the schedule and possible interruption are assessed after reviewing the environment.

What we check at handover

We agree inbound and outbound test messages, access to selected folders, shared mailboxes and calendars. Devices and applications that send email are checked when included in scope. Your business receives a record of completed checks, exceptions and responsibility for ongoing administration.

What determines the proposal

Mailbox count, data volume, the source system, access and the number of devices affect cost and timing. Microsoft licences and any additional migration tools are identified separately. Send an initial inventory so we can define the work and schedule. Migration can be coordinated with MFA setup for the new sign-ins.

Questions about this service

Can we keep our existing email addresses?
Most migrations retain the existing business domain. We first check ownership, DNS access, existing addresses and any restrictions in the source system.
Will every old message be transferred?
Coverage depends on source availability and condition, method limitations and local archives. We agree what is being transferred and how it will be verified rather than assuming all data is on the server.
Can the switch happen outside office hours?
We agree the window after estimating the work and confirming responsible people are available. User checks on the next working day should also be planned.
