Shared documents with clear ownership
This service is for businesses already using Microsoft 365 or preparing to adopt it. We distinguish individual working files from documents owned by a team, such as proposals, project files, procedures and templates. A responsible person in your business approves who can read, edit and manage sharing.
We do not move every folder without review. Duplicates, sensitive information and files tied to specialist applications need decisions before transfer. For data that must remain on the local network, we consider server or NAS storage.
Agreeing the structure and permissions
- Review of data sources, volume and working practices.
- Sites and document libraries organised by team or purpose.
- Access groups and an owner for each area.
- External guest and sharing-link rules within the organisation’s settings.
- A pilot transfer and checks with representative documents.
The structure needs to make sense to employees. Too many individual file exceptions make permissions hard to maintain. Where practical, we use groups and document cases that need separate treatment.
Moving files without competing working copies
A pilot library
With a small group, we check opening, editing and finding documents in the browser or supported applications. We also test with a user who should not be able to access a restricted area.
A defined switch-over
We agree when work on the old location stops and how changes made during transfer are reconciled. The source is retained under the agreed plan until the responsible person accepts the result.
What employees receive
Handover includes a structure overview, named owners and brief guidance on opening, sharing and finding files. We explain when to share a link instead of creating another copy. If synchronisation is included, we check the agreed computers and explain how to recognise a sync problem.
Version history and deleted-item recovery have their own limits. Retention and recovery requirements are considered separately from folder organisation. Later permission changes can be handled through managed IT maintenance.
