Employee IT onboarding and workstation setup

A new team member needs their own account, a ready computer and approved access. We prepare the workstation for the employee’s role and check the tasks they need to perform on their first working day.

Start with approved access

The business manager decides which data and applications the person needs. IT support implements the approved setup and records the result. This avoids copying every permission from a colleague who may have a different job or additional privileges.

The service supports businesses in Belgrade and New Belgrade adding a workstation or establishing a repeatable process for a growing team. It can be agreed as a standalone task or within an existing maintenance contract, depending on its scope.

What we prepare before day one

  • Computer checks, required updates and agreed business applications.
  • An individual business account, email and available licences.
  • Approved groups, shared folders, calendars and printers.
  • Basic security settings and MFA enrolment with the user.
  • A record of equipment, accessories and completed checks.

Computer purchases and licences are not automatically included in setup. When reusing a workstation, we first establish what must be retained and who authorises preparing it for another employee. The previous user’s account is not handed over as a substitute for a new identity.

Testing the employee’s actual work

Workstation and applications

We check sign-in, email and tasks agreed with the manager. These may include a particular folder, a business application, printing or a video meeting. Where third-party software requires its vendor’s involvement, this is coordinated.

Hybrid work

If the employee works outside the office, remote access is tested under agreed conditions. A test performed only on the internal network does not demonstrate how the device will work elsewhere.

A short handover and a clear record

We show the user where business files belong, how to lock the device, how to report a problem and what to do with an unexpected sign-in request. The handover focuses on their work rather than a long technical configuration list.

The responsible person receives the equipment and access record with any outstanding items. This helps with future role changes and removing access when an employee leaves. For a consistent sign-in policy across the team, see business MFA setup.

Timing and pricing

Equipment availability, licences, application count and accounts managed by other vendors affect lead time. Let us know as soon as the role and start date are confirmed. The proposal distinguishes setup of an existing device, additional equipment and any network work. Do not include passwords or sensitive employee documents in the initial enquiry.

For the wider service, see managed it maintenance. Our IT services pricing page explains billing; the scope of this project is confirmed in a proposal.

Questions about this service

Can a computer be prepared before the employee arrives?
Much of the preparation can be completed in advance with approvals and access. Personal MFA enrolment and some checks take place with the employee.
Is the process identical for every role?
The basic checklist can be shared, but applications, permissions and equipment depend on the role. Additional rights need approval from the responsible business contact.
What if we use software from another vendor?
We establish who creates the account and assigns its licence, then coordinate setup and testing. Without that access, we cannot confirm the application is ready.
