A conventional AI conversation normally ends with an answer that the user reads and reviews. An AI agent can go further: it can complete a sequence of steps, work with files, search connected sources and prepare a finished document, spreadsheet, presentation or report. That creates useful possibilities for business, but it also raises a practical question: how much access should be given to a tool that can continue working independently?

Begin with one small and clearly defined task
An AI agent should not be connected to every business system on its first day. Choose one task with clear inputs and an expected result. It could compare public supplier price lists, identify common issues in anonymised support records or create the first draft of an internal procedure from approved documents.
A limited task makes accuracy and time savings easier to measure. When the output is not good enough, the business can change the instructions without exposing critical systems.
Access to files is not permission to see everything
Connecting an AI tool to cloud storage should follow the same rule used for employees: access only the information required for the job. An agent preparing marketing material does not need payroll data. A support-analysis tool does not need contracts and banking information.

Old shared accounts and folders with excessively broad permissions need particular attention. AI can locate and process content much faster than a person, making years of poor permission management a larger risk.
Which actions should always require human approval
Sending an email to a client, publishing content, deleting files, changing permissions, ordering goods and modifying financial information should not happen without confirmation. AI can prepare a proposal, but a responsible person should review exactly what will happen before approving the action.

Give every automated process an owner
Each process needs a person who understands its purpose, data access and failure procedure. Keep versions of instructions, approved sources and examples of errors. This allows the process to improve instead of depending on one employee's improvised prompts.

ChatGPT Business and similar tools also require managed user accounts, MFA, sharing rules and an offboarding process. A private employee account is not an appropriate permanent home for company workflows.
Reduce repetitive work without giving up control
The best outcome is not an AI system that does everything. It is a system that removes repetitive steps while the business retains control of data and decisions. Well-managed ChatGPT use can speed up research and preparation. Poorly managed use can create new copies of confidential information and processes that nobody fully understands.
