Phishing messages increasingly look professional, use familiar branding and refer to a document, invoice or delivery the employee expects. Clicking a link is not proof of carelessness, but a slow response can turn one mistake into a serious business incident.

When an employee uses AI only to rewrite a short paragraph, the risk is relatively limited. The situation changes when the tool can access the internet, email, cloud files and other business services. A malicious instruction hidden in a website or document may then try to alter the tool's behaviour. This type of attack is called prompt injection.

The speed test shows 300 Mbps and websites open quickly, but a Teams or Zoom meeting keeps breaking up. Audio is delayed, the picture freezes and employees repeatedly reconnect. This is common in offices because a video call depends on more than the maximum internet speed.

Meeting notes are useful, but few people enjoy writing them. AI tools can now listen to a conversation, identify decisions and create a task list. Google Meet and other platforms offer automatic note-taking that can save time and reduce forgotten commitments.

In many companies, AI arrived without a project, budget or formal decision. Employees opened their own accounts and began using ChatGPT, Gemini and similar tools for emails, spreadsheet analysis and document preparation. The tools may be useful, but when nobody knows which services are in use or which data is being entered, the organisation has a Shadow AI problem.

A conventional AI conversation normally ends with an answer that the user reads and reviews. An AI agent can go further: it can complete a sequence of steps, work with files, search connected sources and prepare a finished document, spreadsheet, presentation or report. That creates useful possibilities for business, but it also raises a practical question: how much access should be given to a tool that can continue working independently?

Windows 10 computers did not stop working when regular support ended in October 2025. Employees can still open applications, print documents and browse the internet. The problem is less visible: without regular security patches, every newly discovered vulnerability increases the risk to company data and the rest of the network.

For many small businesses, Microsoft 365 has become part of the core IT infrastructure. Outlook, Word, Excel, Teams, OneDrive and SharePoint are used every day, so a licence price change is more than another line on an invoice. It is a useful opportunity to check what the business is paying for, which features employees actually use and whether user accounts are properly managed.
