Start with the printer itself

Check the device display. A paper jam, open cover or consumable warning can stop a job before Windows provides a useful explanation. If supported, an internal test page helps check printing without using a computer.

Record the model and displayed message. Before restarting, check whether a colleague is scanning or submitting an important job. Restarting the whole office router is not an appropriate first response to one printer problem.

One computer or everyone?

Send a short, non-sensitive test document from another authorised computer. If it prints, investigate the affected workstation first. If other users also fail, focus on the device, network or shared print server.

  • Check that the correct device is selected rather than an old installation or virtual PDF printer.
  • Establish whether the issue followed a Wi-Fi, router or computer change.
  • Record whether all documents fail or only one application is affected.

This is more useful to support than “it does not work”. Also note the last successful print time.

Network addresses and guest Wi-Fi

A computer on guest Wi-Fi may have internet access without permission to reach the office printer. In a managed network, separate segments can communicate through controlled rules; devices do not necessarily need the same Wi-Fi name.

An administrator should compare the device's address with the destination configured on the computer. A changed address may leave the old port pointing elsewhere. Do not assign a random static address: it could conflict with another device. A documented address reservation and print port make maintenance easier.

Print queue, driver and Print Spooler

Open Printers & scanners in Windows settings, select the correct device and inspect its queue. Check whether printing is paused. If a document is stuck, establish who submitted it and whether they can resubmit it.

Clearing the whole queue may remove other people's jobs. Restarting Print Spooler on a shared server can affect several users and should be coordinated with the administrator. Microsoft's offline-printer guide covers connectivity, queues, the service and adding the printer again.

Choose drivers for the exact model and operating system, following the manufacturer's guidance. Avoid unknown driver-repair utilities.

Prevent recurring interruptions

Keep an inventory of devices, network addresses and driver installations. Define who changes network settings and tests printing after router or computer replacement. If a printer is shared through a workstation, availability can also depend on that computer being switched on.
